Some subscriptions will not let you click a button. Clubs, annual memberships, certain wireless and insurance add-ons, and a few regional services still require a written cancellation — an email, a web-form message, or a letter. When that happens, a clear, dated cancellation letter is your proof that you acted before the renewal date. This guide gives you a fill-in template and three worked examples you can copy today.

If the service cancels online with a click, use our directory instead — you usually do not need a letter. Use this template when a written notice is required or when you want a paper trail.

Example 1 — Cancel a membership before renewal

Example 3 — Cancel inside a free-trial window

I am writing to cancel my DesignPro trial before it converts to a paid plan, effective immediately.

Timing matters most here — send it before the trial’s conversion date, not after.

Proof and timing

  • Send before the renewal date. A cancellation letter dated after the charge rarely reverses it.
  • Keep the confirmation. A reply that says “cancelled” or a system email is your evidence if a charge appears later.
  • Match the method in the terms. If the contract demands certified mail or a specific form, follow it — email alone may not satisfy that clause.
  • State “do not authorize further billing.” This closes the loop so a failed cancellation does not silently renew.

FAQ

What should a cancellation letter include? Your full name, the account or membership ID, the service name, a clear statement that you want to cancel effective immediately (or at period end), the date, and the email or address on file. Keep it short and unambiguous, and ask for written confirmation in reply.

Is email enough, or do I need certified mail? Email is enough for most consumer subscriptions. Certified or registered mail matters when a contract or a specific state auto-renewal law requires written notice by a deadline — for example some annual memberships. If the terms name a method, use it; otherwise email with a saved confirmation is fine.

Do I have to give a reason to cancel? No. You do not owe a reason. State that you are cancelling and stop there. Adding a complaint is optional and can be saved for a separate message.
